Gemini in Gmail for a small business
Monday starts with a thread you meant to answer on Friday. If the business pays for Google Workspace, the assistant may already be in the inbox.
The thread from Friday is still unanswered, and the file they mean is in Drive under a name you do not remember. That is the Monday pile. Gemini in Gmail is the assistant inside that inbox for a small business on Google Workspace.
The short answer: summarize the thread, draft the reply, and check it against the email before you send it. Finding a file in Drive, and using Gemini Notebook on a stack of documents, depends on the plan.
Prices, plan names, and feature lists below are from Google’s pages, checked on 16 October 2026. If a button has moved, follow the help page.
If the office runs on Microsoft 365, start with Copilot or ChatGPT: which one for a small office?. For other jobs beyond the inbox, see Five admin jobs any small business can hand off this month. This page is for Gmail and Drive.
Where do you find Gemini in Gmail?
Gmail’s help page “Collaborate with Gemini in Gmail” says the side panel needs an eligible Google Workspace or Google AI plan. On a computer, open Gmail and click Ask Gemini at the top right. Type the request and click Submit.
Help me write is separate. The drafting help page says to click Compose, or open a reply, and use the prompt bar at the bottom of that window. If the bar is missing, click Help me write, then Create. If Ask Gemini is missing, check the plan, and ask whoever manages the account whether Gemini is on for your user.
How do you summarize a long thread?
Gmail’s help page on AI Overview conversation summaries says to open the thread and click Summarize this email. It says this works on a work, school, or personal Google account, and that Smart features in Gmail, Chat, and Meet, plus Smart features in Google Workspace, have to be on. Turning those off also turns off other writing help in Gmail.
Use the summary to remember who asked for what, then scroll the thread. The same page says suggestions can be inaccurate, and that you should not rely on them for medical, legal, financial, or other professional advice. If a task has a due date, Remind me can add it to Google Tasks or Google Calendar. Confirm the date yourself.
How do you draft a reply that sounds like the business?
Google’s drafting page says to name who you are writing to, what they should do, and the tone. For accuracy, point at a specific email or file.
Reply to this thread.
Tell them Thursday at 2 still works.
Do not offer a discount.
Keep it under 80 words.
If a fact is not in this thread, write [CHECK THIS] instead of guessing.
The page says Help me write can pull a time or a booking code from your other emails and Drive files. Click Sources. If it grabbed the wrong booking, fix the line yourself. Formalize, Friendly, and Shorten are on that bar. You read the draft, then you send it.
How do you find a file in Drive?
Drive’s help page says an eligible plan can take a normal phrase in the search bar. Go to drive.google.com, type a file type, a topic, and a person, then click the citations before you trust the file. A question about what is inside the files can show an AI Overview, also with citations.
The edition comparison leaves the Drive side panel, and Gemini in Drive, Docs, Sheets, and Slides, unchecked for Business Starter. It checks them for Business Standard and Business Plus. On Starter, use the Gmail buttons. Drive search with Gemini is the step up.
What is Gemini Notebook?
When the pile is quotes, notes, and PDFs, Google’s Canadian Workspace page lists “AI research assistant (Gemini Notebook)” on the Standard plan, under “All of Starter, and.”
The product page calls it Gemini Notebook, formerly NotebookLM. It answers from sources you upload, including Docs and Slides from Drive, and it shows citations. Uploaded data is not used for model training, and sources stay private unless you share a notebook. The edition comparison lists it on all three business plans, with higher limits on Standard and Plus. The Gmail reply does not need a notebook.
Which Google Workspace plan includes Gemini?
On Google’s Canadian Workspace page, checked on 16 October 2026, prices are in Canadian dollars. Plans are billed monthly. A one-year commitment saves 16%. The higher figure is month to month. The lower figure is the commitment price.
| Plan on the Canadian page | Month to month | One-year commitment | Gemini on that card |
|---|---|---|---|
| Starter | CA$11 per user a month | CA$9.20 per user a month | Gemini AI assistant in Gmail, and chat with Gemini AI |
| Standard | CA$22 per user a month | CA$18.40 per user a month | All of Starter, plus Gemini in Gmail, Docs, Meet, and more, and Gemini Notebook |
| Plus | CA$34.40 per user a month | CA$28.70 per user a month | All of Standard, plus the extra storage and controls on that card |
The page offers a 14 day trial. Enterprise says contact sales for pricing, with no public Canadian dollar price on that card. Prices change. Starter covers the Gmail jobs on this page. Standard is the card that adds Docs, Meet, Gemini Notebook, and, on the edition table, Drive.
What should you check before you send it?
Google’s help pages say the suggestion can be wrong. The summary should match the thread. Sources on a Help me write draft should point at the right emails. Times, prices, and promises should be ones you will stand behind. Replace or cut any [CHECK THIS]. The help page says not to rely on Gemini for medical, legal, financial, or other professional advice.
Google’s Generative AI Privacy Hub, last updated 29 August 2025, applies when you use Gemini on a qualifying Workspace edition. It says your content is not human reviewed or used for generative AI model training outside your domain without permission. Prompts and responses in Gemini in Workspace are not kept after the session ends. Text you insert into the email follows ordinary Workspace retention. A personal Gmail login is a different setup. What should stay out of the box is in Is ChatGPT safe for my customers’ information?.
